Summary
Southern California Edison is a clean energy company focused on powering communities, reducing carbon emissions, and creating cleaner air. The Senior Administrative Assistant provides advanced administrative support to multiple non-executive leaders and managers in the Transmission and Distribution Department, including scheduling, communication, travel, reporting, vendor coordination, expense management, and confidential records administration.
Responsibilities
- Performs a variety of administrative duties to support assigned leader, including managing the calendar and scheduling appointments, meetings, and conferences while prioritizing conflicting demands
- Serves as primary point of contact for internal and external stakeholders, relaying messages, and facilitating communication
- Arranges travel itineraries, including booking flights, accommodations, transportation, and visas
- Prepares various templated weekly/monthly/quarterly reports for assigned leader and performs basic research as requested
- Drafts documents and presentations of documents and presentations on behalf of the leader
- Interfaces with suppliers and vendors regarding requests for quotes, purchase orders and invoicing
- Files and manages expense reports, ensuring timely submission and accurate documentation of expenses incurred. Includes tracking reimbursement status and resolving any discrepancies or issues
- Organizes and maintains files, records, and databases, ensuring confidentiality of sensitive information. Supports the assigned leader with various ad-hoc tasks and projects as needed
- A material job duty of all positions within the Company is ensuring the protection of all its physical, financial and cybersecurity assets, and properly accessing and managing private customer data, proprietary information, confidential medical records, and other types of highly sensitive information and data with the highest standards of conduct and integrity
Skills
- Two or more years of experience performing advanced administrative, secretarial, and clerical functions
- Unless otherwise noted, employees are required to work and reside in the state of California
- Experience working with confidential and sensitive information
- Experience performing customer service duties with internal and external clients
- Experience with calendar management in MS Outlook
- Experience supporting multiple individuals and management team
