Summary
The Nevada System of Higher Education is seeking an Assistant Coordinator, Board Operations to support the Board of Regents and the Office of the Board of Regents. The role provides comprehensive administrative support, coordinates travel, meetings, events, awards, reimbursements, records, correspondence, and other office operations.
Responsibilities
- Provide comprehensive administrative support to the Board of Regents and Board Office
- Coordinate executive travel arrangements and meeting and event attendance
- Process expense reimbursements and track hosting expenditures in accordance with established policies and procedures
- Reconcile purchasing card expenditures and ensure appropriate documentation
- Assist with the coordination and execution of high-profile public meetings and events
- Coordinate the annual Regents’ Awards process
- Prepare correspondence, reports, presentations, and other documents and materials
- Create, maintain, and disseminate departmental lists, calendars, and other organizational resources
- Schedule and calendar meetings, appointments, and events
- Maintain subscriptions, memberships, and related records
- Order, organize, and maintain academic regalia
- Provide on-site administrative support to Regents at commencement ceremonies and other special events
- Order and maintain office supplies and stationery
- Coordinate the purchase and delivery of food and beverages for meetings and events
- Perform general administrative duties, including copying, filing, mailing, shipping, and framing
Skills
- A bachelor's degree and one (1) year of administrative experience in a professional office environment; or
- An associate degree and two (2) years of administrative experience in a professional office environment; or
- A combination of education and three (3) years of administrative experience in a professional office environment
- Excellent written, verbal, and interpersonal communication skills, with the ability to communicate effectively and professionally with Regents, senior administrators, System and institutional personnel, stakeholders, and the public
- Skill in developing, organizing, maintaining, and retrieving accurate records in accordance with established records-management practices and applicable policies
- Proficiency with Microsoft Office and other business technology applications, online travel-booking platforms, electronic calendaring systems, and internet-based research tools
- Ability to effectively plan, prioritize, organize, and manage multiple assignments, competing priorities, and time-sensitive deadlines while maintaining a high level of accuracy
- Ability to understand, interpret, and appropriately apply statutes, policies, procedures, and established practices to assigned responsibilities
- Ability to produce accurate, thorough, and timely work while maintaining a high level of attention to detail
- Ability to independently plan, coordinate, and manage complex in-state, out-of-state, and international travel arrangements and itineraries for multiple Regents and department staff including transportation, lodging, schedules, event attendance, and changes to travel plans
- Ability to compose, proofread, edit, format, and disseminate accurate and professional correspondence, reports, itineraries, meeting materials, calendar invitations, and other official documents
- Ability to analyze complex situations, identify and define problems, exercise sound judgment, and propose practical and effective solutions
- Ability to work independently with minimal supervision while also collaborating effectively with colleagues, leadership, Regents, institutional representatives, and external stakeholders
- Ability to remain composed, professional, responsive, and solution-oriented in high-pressure, sensitive, and time-critical situations
- Ability to represent the Board of Regents and NSHE with professionalism, discretion, integrity, sound judgment, and respect in all interactions
Qualifications
Must Haves
