Summary
Bat Conservation International is a nonprofit organization dedicated to conserving bats and their habitats through science, conservation, restoration, and collaboration. The Engagement Operations Coordinator manages operational and cross-functional projects, supports public engagement and Bracken Cave operations, coordinates conferences and events, and provides project and operational support to the Chief Engagement Officer.
Responsibilities
- Manage projects from planning through implementation, coordinating timelines, stakeholders, deliverables, and follow-through
- Bring structure to emerging priorities and cross-functional work by establishing clear plans, responsibilities, and next steps
- Identify barriers, improve workflows, and develop practical systems that make work more efficient
- Take on emerging and special projects as organizational priorities evolve
- Serve as a welcoming point of contact for designated public inquiries and coordinate timely responses across BCI
- Improve systems for receiving, routing, tracking, and responding to public inquiries
- Coordinate Bracken Cave-related inquiries, correspondence, and public engagement in partnership with Engagement and Conservation colleagues
- Help strengthen the Bracken visitor experience and identify opportunities to grow earned revenue
- Use public questions and feedback to identify opportunities to improve resources, communications, and experiences
- Coordinate BCI's participation in major conferences, events, and external engagement opportunities
- Manage logistics, schedules, registrations, materials, and cross-team coordination
- Support major conservation convenings and high-visibility organizational priorities, including international conferences
- Provide operational and project support to the CEngO, helping organize priorities, meetings, external relationships, and follow-through
- Coordinate scheduling and logistics for selected partners, donors, former Board members, and other priority stakeholders
- Prepare materials, organize information, document decisions, and track commitments
- Maintain relationship information in Raiser’s Edge in partnership with Engagement Services
- Identify opportunities to streamline recurring work through better processes, technology, and automation
- Partner with the Chief of Staff and colleagues across BCI on cross-functional priorities
- Coordinate selected team meetings, planning sessions, retreats, and team-wide initiatives
- Help maintain visibility into priorities, decisions, commitments, and shared work
- Support improvements to workflows, shared resources, technology, and ways of working
Skills
- Bachelor's degree or equivalent combination of education and professional experience
- 3+ years of relevant experience in project coordination, operations, program administration, constituent engagement, events, or a related area
- Demonstrated ability to independently manage projects involving multiple stakeholders and deadlines
- Strong organization, judgment, initiative, and follow-through
- Excellent written, verbal, and interpersonal communication skills
- Ability to build productive relationships and coordinate across teams without formal authority
- Comfort working independently and creating structure when work is not fully defined
- Strong comfort with technology and willingness to learn new systems, tools, and automation
- Ability to manage multiple priorities in a dynamic, distributed environment
- Experience coordinating cross-functional projects, conferences, or events
- Experience working with members of the public, donors, supporters, volunteers, or other external audiences
- Experience improving operational processes or workflows
- Familiarity with CRM systems such as Raiser's Edge, project management tools, or collaborative technology
