Summary
The California Institute for Behavioral Health Solutions (CIBHS) is a statewide nonprofit focused on strengthening behavioral health systems and improving outcomes for individuals, families, and communities. The Senior Project Coordinator will coordinate the day-to-day administration and implementation of the Children and Youth Behavioral Health Initiative grant program, maintaining project systems, organizing events, managing communications, and tracking deliverables and deadlines.
Responsibilities
- Plan and coordinate logistics for meetings, trainings, webinars, and other project-related events
- Maintain project calendars, trackers, and timelines using project management software to support program activities, deliverables, and reporting deadlines
- Coordinate communications with project team members, external partners, and stakeholders to share timely updates, reports, and other information as needed or required
- Draft, edit, and distribute professional communications for internal and external audiences
- Proofread and format reports, presentations, and other materials to ensure accuracy, consistency, and alignment with CIBHS templates and branding standards
- Prepare meeting agendas and materials, prepare meeting minutes and track follow-up items
- Design key project collateral and materials, including graphics, flyers, announcements, agendas, presentations, handouts, and participant resources
- Set up and manage event registration sites; monitor registrations, cancellations, and participant inquiries
- Coordinate with consultants, partners, and funders to support training needs, timelines, materials, and invoice submission
- Maintain organization project records, including deliverables, materials, and other project documentation
- Participate in internal team meetings and contribute to ongoing process improvements
Skills
- Bachelor's degree in a related field, or equivalent combination of education and experience
- At least two (2) years of experience supporting complex projects in a team-based professional environment
- At least two (2) years of experience developing content and performing basic video editing for social media, newsletters, email, or other digital channels
- Proficiency and hands-on experience with a variety of technology platforms and tools, including:
- Project management software, such as Monday.com
- Survey and evaluation tools, such as Qualtrics, SurveyMonkey, or Alchemer
- Email marketing platforms, such as MailChimp or Zoho Campaigns
- Web-based platforms for event registration, website content management, and training or learning management
- Canva or similar tools for creating and editing visual content
- Virtual meeting platforms, such as Zoom and Microsoft Teams
- Microsoft applications and collaboration tools, including Microsoft Office and SharePoint
- Excellent organizational, time management, problem-solving, and follow-through skills
- Demonstrated ability to coordinate timelines, logistics, documentation, and deliverables with strong attention to detail
- Ability to manage multiple projects, shifting priorities, and competing deadlines in a fast-paced environment
- Strong proofreading, editing, written communication, and verbal communication skills
- Ability to work independently, anticipate needs, and communicate effectively with internal and external stakeholders
- The selected candidate must reside in California and be available for occasional travel for meetings, trainings, conferences, or project-related activities. Travel may include air travel and overnight stays
- Familiarity with behavioral health, healthcare, public health, human services, nonprofit, or government-funded programs is preferred
- Customer relationship management (CRM) systems, such as Zoho (preferred)
