Summary
American Microgrid Solutions delivers onsite advanced power systems that improve security, savings, and efficiency for critical facilities. The Business Operations Coordinator manages contracts, invoicing, accounts payable, payroll, insurance, and related administrative records to support accurate and timely financial operations.
Responsibilities
- Manage contract execution, filing, and document control
- Maintain alignment between contracts, Salesforce, QuickBooks, invoices, and cash flow forecasts
- Prepare, issue, and track invoices and milestone billings
- Maintain accurate contract, revenue, backlog, and project financial records
- Manage accounts payable from receipt of vendor invoices through QuickBooks entry and payment scheduling
- Manage requests for Certificates of Insurance, insurance policy renewals, and insurance premium payments
- Process payroll and benefits
- Manage employee clothing and branded apparel
- Schedule and book annual retreat travel and logistics using the company travel agent
- Reconcile monthly credit card statements and expense reports
- Support business licenses, registrations, and state compliance filings
Skills
- Eligibility is restricted to members of the U.S. Armed Forces separating honorably with greater than 180 days of continuous Active Duty
- SkillBridge/CSP period of eligibility is within the final 180 days of Active Duty service, and the SkillBridge/CSP must be completed prior to separation from Active Duty in the U.S. Armed Forces
- Location: Remote, but must be US based
- Experience in bookkeeping, accounting, or a similar administrative or operations role
- Ability to track and manage administrative requirements across 100+ contracts
- Ability to prepare, issue, and track invoices
- Ability to follow up on and collect unpaid invoices
- Desire to take initiative, learn new skills, and pursue additional responsibility
- Strong organizational and communication skills
- Proficient in Microsoft Excel
