Job description

Summary

Praesidium is hiring a Sales Operations Coordinator to support the effectiveness and efficiency of its sales organization. The role maintains Salesforce data integrity, manages inbound leads, monitors pipeline activity, prepares sales reports, and provides operational support to the Business Development team and SVP of Growth.

Responsibilities

  • Maintain accurate and complete lead, contact, account, and opportunity records within Salesforce
  • Add and maintain contacts from inbound inquiries, conferences, events, and other lead sources
  • Proactively review CRM and pipeline data to identify missing, duplicate, inaccurate, or outdated information
  • Monitor opportunity stages, close dates, lead sources, aging opportunities, and other key fields for accuracy
  • Work with opportunity owners to obtain missing information and ensure opportunities are kept current
  • Ensure Closed Won and Closed Lost opportunities, including applicable loss reasons, are accurately recorded
  • Identify recurring CRM or pipeline data issues and bring opportunities for improvement to the SVP of Growth
  • Monitor inbound sales inquiries received through phone, email, web forms, conferences, and other designated channels
  • Gather and document relevant lead information, including lead source, referral source, and partnership or association affiliation
  • Categorize, log, and assign leads to the appropriate Business Development Representative
  • Assist with scheduling initial prospect meetings when appropriate
  • Monitor assigned leads and opportunities for timely follow-up and accurate Salesforce documentation
  • Proactively follow up with Business Development Representatives when leads or opportunities require updates or additional action
  • Prepare recurring sales and pipeline reports for the SVP of Growth and pipeline meetings
  • Report on key sales metrics, including lead volume and sources, opportunities created, win/loss ratios, aging opportunities, and pipeline activity
  • Maintain accurate Salesforce data to support reliable sales reporting and forecasting
  • Provide day-to-day operational support to Business Development Representatives, including Salesforce and basic CRM support
  • Assist with the preparation and management of proposals using PandaDoc and other approved sales tools
  • Maintain sales documentation and support consistent sales processes and CRM practices
  • Identify opportunities to improve CRM data quality, lead management, and sales team efficiency
  • Perform other duties as assigned

Skills

  • Minimum of 2 years of experience in sales support, sales coordination, sales operations, CRM administration/support, customer service, or a related role
  • Experience maintaining CRM data, sales pipelines, leads, contacts, accounts, and opportunities
  • Strong attention to detail and commitment to data accuracy
  • Ability to identify incomplete or inconsistent information and proactively follow through with team members to resolve issues
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
  • Professional telephone and email communication skills
  • Strong attention to detail with an emphasis on data integrity and accuracy
  • Proactive approach to identifying missing information, incomplete follow-up, and process gaps
  • Strong follow-through and willingness to work directly with sales team members to obtain necessary updates
  • Ability to organize and interpret sales information sufficiently to prepare accurate reports for leadership
  • Ability to recognize trends or recurring issues and escalate them appropriately
  • Strong interpersonal and relationship-building skills
  • Ability to work independently while collaborating effectively with Business Development Representatives and leadership
  • Problem-solving mindset and willingness to improve existing processes
  • Comfortable learning new sales technology, CRM functionality, and business systems
  • Ability to maintain confidentiality and appropriately handle sensitive customer and business information
  • Experience working with Salesforce CRM strongly preferred
  • Experience supporting a Business Development or sales organization
  • Experience preparing sales and pipeline reports
  • Familiarity with sales metrics such as lead sources, opportunities created, win/loss ratios, pipeline aging, and sales activity
  • Experience with Salesforce reporting and pipeline management
  • Experience with PandaDoc or similar proposal/document-management platforms
  • Experience importing, cleaning, reviewing, and maintaining CRM data
  • Understanding of CRM data-quality and pipeline-management best practices
  • Experience working in a fast-paced, cross-functional sales environment
