Summary
Reserv is an insurtech that develops AI and automation technology to improve insurance claims operations. The Licensing Analyst supports the end-to-end licensing lifecycle for claims adjusters, including applications, renewals, continuing education monitoring, compliance research, recordkeeping, and reporting across multiple states.
Responsibilities
- Prepare, organize, and submit initial adjuster license applications across required states and jurisdictions
- Gather and verify supporting documentation (background checks, fingerprinting, affidavits, etc.) and enter applicant data across state DOI portals and internal systems
- Track application status, follow up with state departments of insurance, and escalate delays or issues appropriately
- Maintain accurate, organized records of all submitted applications and approvals
- Monitor renewal deadlines for all active adjuster licenses and flag upcoming renewals within established timelines
- Prepare and submit renewal applications ahead of expiration dates, and gather required supporting documents
- Update the licensing database to reflect current renewal statuses and communicate renewal reminders to adjusters and internal stakeholders
- Coordinate payment of renewal fees and track associated costs
- Track CE requirements by state — credit hours, course types, and deadlines — and log individual adjuster completion status
- Cross-reference CE records against state requirements to identify and flag gaps before renewal submission
- Research approved CE course options by state and communicate them clearly to adjusters
- Maintain organized CE documentation for audit and compliance purposes
- Build working knowledge of adjuster licensing requirements across multiple states (resident, non-resident, and surplus lines licenses) and license types (staff, independent, public, catastrophe)
- Monitor assigned states for regulatory changes and updates, and report findings promptly
- Research state-specific licensing requirements using DOI websites and regulatory resources, and summarize findings clearly for the Licensing Manager
- Assist with responses to routine state department of insurance correspondence and inquiries
- Maintain an accurate, up-to-date licensing database for all adjusters
- Audit internal records periodically to identify and correct discrepancies
- Prepare status reports and tracking spreadsheets on licensing, renewals, and CE compliance as directed
- Retain documentation in accordance with company retention policies and regulatory requirements
Skills
- Candidates must reside in an eligible U.S. state throughout employment
- Detail-oriented to a fault. You catch the typo or the missing field before it becomes a rejected application
- Organized. You keep track of dozens of moving deadlines without letting any of them slip
- A self-starter. You take direction well, then run with it without needing to be re-prompted
- Curious and research-minded. You're comfortable digging through a state DOI website to find the answer yourself
- Eager to learn. You want to build real subject-matter expertise in licensing and compliance, not just process tickets
- A clear communicator, in writing and out loud
- Comfortable in a fast-moving, detail-driven environment
- 0–2 years of experience in insurance licensing, compliance, or a related administrative role — recent grads and career-changers with strong organizational chops are welcome to apply
- Strong Google Workspace skills, particularly Google Sheets, for tracking and reporting
- Comfortable navigating multiple state DOI websites and online portals, with solid data entry skills and a focus on accuracy
- Strong attention to detail and organizational skills; able to manage multiple deadlines simultaneously without letting things fall through the cracks
- Clear written and verbal communication skills, and comfortable asking clarifying questions or escalating issues appropriately
- Ability to work cross-functionally with People Ops, Claims, and Recruiters
- Candidates who've already spent time in NIPR, Sircon, or a similar licensing platform will ramp faster and are strongly preferred
- Some hands-on exposure to NIPR and/or Sircon (or a comparable licensing management platform, e.g., Vertafore) strongly preferred
- Prior exposure to claims adjuster licensing specifically is a plus, but producer licensing or other insurance-adjacent licensing/compliance experience counts too
- An Associate's or Bachelor's degree in Business, Legal Studies, or a related field is a plus
