Job description

Summary

Trajectory of Hope is an organization focused on advancing racial equity and supporting marginalized communities through educational and organizational change. The Program Manager coordinates program and administrative operations, manages grants and compliance reporting, oversees budgets and outcomes, and supports organizational initiatives and collaboration.

Responsibilities

  • Believe in and enact an anti-racist, anti-bias, equitable, and critical approach in all administrative duties and activities
  • Support the development of TOH administrative systems that enhance service delivery and indirectly contribute to fulfilling the vision
  • Take a whole person approach when working with people, emphasizing that people are multifaceted and unique; appreciating differences
  • Supervising the day-to-day operations of the administrative department and staff members
  • Developing, reviewing, and improving administrative systems, policies, and procedures
  • Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained
  • Working with the accounting and management teams to set budgets, monitor spending, and process payroll and other expenses
  • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions
  • Collecting, organizing, and storing information using computers and filing systems
  • Overseeing special projects and tracking progress towards company goals
  • Building and expanding on skills by engaging in educational opportunities
  • Monitoring and maintaining funder reporting schedules and requirements
  • Tracking progress toward organizational programmatic outcomes and goals
  • Requesting reimbursements and drawdowns as needed
  • Drafting compelling progress reports and targeted program updates (e.g. blog posts, press releases, FB and twitter posts) to funders that fully capture programmatic success
  • Assembling all necessary supporting materials and documents including budget reports, outcome measurements, success stories, etc.; submit reports to funders and investors
  • Maintaining master calendar of grants and prospects and all associated files and correspondence
  • Maintaining library of grant support documents including resumes, bios, IRS forms
  • Board/staff diversity lists, etc
  • Identifies and evaluates potential future funding sources and contributes to the submission of grants and contracts supporting the program, including the annual submission and writing of all content areas and budgetary sections of grant applications
  • Arrange logistics for meetings, events, and travel
  • Collaborate with the Trajectory of Hope leadership team to implement an effective program
  • Assume leadership of program initiatives as appropriate
  • Other TOH duties as appropriate and assigned

Skills

  • 3+ years of work experience with administrative and/ or grants management
  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections
  • Knowledge of budgeting and fiscal management principles and procedures
  • Strong ability to build relationships with a variety of stakeholders
  • Exceptional written and verbal communicator
  • Thrives in a fast-paced environment and operates with a sense of urgency
  • Exceptional organizational skills
  • Strong ability to multitask and prioritize
  • Ability to work independently as well as with a team
  • Evidence of using data to improve processes and outcomes
  • Ability to work in ambiguous, complex, and rapidly changing environments
  • Motivated by TOH's vision and mission
  • B.A. Degree required in related fields of education, business, finance
  • The ideal candidate will be based in Southern California, or work remotely from the Bay Area, Central Valley, or Central Coast, with periodic visits to Los Angeles
  • Master Degree (preferred)
