Summary
TrendyMinds is seeking a Client Partnerships Coordinator to support the smooth operation of client accounts. The role focuses on organizing projects, coordinating communications and meetings, preparing reports and documentation, and identifying potential client opportunities.
Responsibilities
- Keep projects organized and on track: Own Asana for your assigned accounts — creating and updating tasks, tracking deadlines, and following up with internal teams so nothing slips through the cracks
- Support client communication: Handle scheduling, meeting logistics, status update emails, and day-to-day follow-ups, serving as a reliable point of contact that keeps engagements moving without pulling senior team members into operational details
- Prep and document meetings: Build agendas, assemble supporting materials, take notes, and track action items so the team walks into every conversation prepared and walks out with a clear record of decisions and next steps
- Assemble reports and documentation: Pull data from Asana and other project tools to build status reports and project summaries, keeping documentation organized so institutional knowledge lives in systems, not inboxes
- Flag opportunities: Notice client requests or comments that may signal unmet needs, and pass them to your supervisor with context so nothing gets lost
Skills
- 1–3 years of experience in project coordination, account coordination, administrative support, or a similar role — agency experience is a plus but not required
- Strong organizational skills and comfort managing multiple deadlines and priorities at once
- Hands-on experience with a project management tool (Asana or similar)
- Clear, professional written and verbal communication skills
- Comfort using AI tools to draft status updates, format reports, organize notes, and surface overdue or at-risk tasks
- Sound judgment about when something needs to be escalated versus when it can wait
- A proactive, detail-oriented mindset — you notice what's missing before someone has to ask
- Experience supporting client-facing teams in a marketing, creative, or professional services environment
- Experience taking meeting notes and tracking action items for cross-functional teams
- Familiarity with reporting or dashboard tools beyond Asana
