Job description

Summary

Crew helps clients deliver change through IT project delivery, business process improvement, and operational efficiency efforts. The Project Coordinator supports project delivery by coordinating interviews, maintaining project trackers, organizing workshop logistics, preparing materials, and assisting with stakeholder readouts while protecting confidentiality.

Responsibilities

  • Shadow stakeholder interviews, run the virtual meeting mechanics and take clean, consistent notes
  • Turn interview notes into emerging themes for synthesis review
  • Coordinate interview scheduling
  • Keep the project tracker current across the four-week timeline and prep the weekly 30-minute check-in with the team
  • Organize the launch playbook, launch plan, and other reference material shares at kickoff
  • Help draft the short team survey and track distribution once the company sends it
  • Own all logistics for the one-day Focus Forward workshop in Cambridge — materials, printed artifacts, AV check, etc
  • Support the workshop live, manage silent brainwriting, capture wall notes, run breakout timers
  • Build the readout deck under direction and attend the Week 4 leadership readout
  • Protect confidentiality

Skills

  • Bachelor's degree in Business, Communications, Life Sciences, Public Health, or related field
  • 0–2 years of professional experience; strong internship, co-op, or capstone work counts
  • Strong note-taking and written communication — clean, concise, well-organized
  • Comfortable running Zoom/Teams meeting mechanics without disrupting the conversation
  • Proficient in PowerPoint, Word, Excel, and Outlook
  • Organized enough to coordinate 12–15 interviews across busy pharma leaders in two to three weeks
  • Professional presence in a client-facing role with VP and Director-level stakeholders
  • Discretion with sensitive and confidential information
  • Coachable and curious — this is a learning seat alongside a senior consultant
  • Any exposure to pharma, biotech, healthcare, consulting, or professional services
