Job description

Summary

Hargrove Management Services Organization, Inc. is a legal-services support organization providing operational, technological, and client-service infrastructure for estate-planning work. The Client Success Coordinator provides scheduling, document coordination, data entry, administrative support, and internal communication throughout the estate planning process.

Responsibilities

  • Schedule meetings and coordinate calendars for clients, advisors, attorneys, and internal teams
  • Support Client Success Managers with administrative and follow-up tasks
  • Prepare, organize, and track client documents and internal records
  • Maintain accurate information in internal systems and databases
  • Assist with email coordination, appointment confirmations, and status updates
  • Monitor workflows and help ensure tasks and deadlines are completed on time
  • Coordinate internally with legal and operations teams to support smooth case progression
  • Provide general administrative support as needed

  • * Clear written and verbal communication
  • * Attention to detail and ability to follow processes carefully
  • * Comfortable using Microsoft Office, Zoom, Slack and scheduling/software tools
  • * Ability to work collaboratively in a team-oriented environment
  • * 1–2 years of administrative, office support, or coordinator experience preferred
