Summary
Silhouette Group, Inc. is an award-winning global event production and design agency specializing in corporate and private events, client entertainment, experiential programs, travel experiences, concert production, talent booking, and strategic planning. The Event Coordinator will support multifaceted projects from initial brief through onsite execution and closing, including research, vendor negotiations, client presentations, budgeting, creative development, and travel planning.
Responsibilities
- Aid in the planning, execution and closing of any project from initial brief to execution onsite; Understand the event life cycle from start to finish with the ability to manage deadlines efficiently
- Lead in the creative development, writing and presentation of event client proposals and vision boards
- Show high-functioning level of proactiveness and maturity, anticipating the needs of both the client and the team in all execution plans
- Be an active, supportive and positive team member
- Actively participate in team meetings, brainstorms, updates, etc
- Possess strong written and verbal communication skills
- Communication management - clients, guests, vendors, team members, leadership
- Maintain meticulous deliverable lists across multiple projects simultaneously with discernment for prioritization levels
- Research local vendors/suppliers, communicate project needs, and gather quotes with accurate pricing to support the building of budgets
- Manage all event expenses including staff travel accommodation and event materials
- Develop initial vendor relationships to ensure best available pricing
- Ability to source appropriate vendors with full explanation of project requirements and deliverables
- Possess creative insight and knowledge to collaborate on creative ideas
- Participate in creative brainstorms to generate ideas for clients, innovative solutions and new technologies
- Produce creative proposals and vision boards to include written explanations of creative concepts, event treatments and supporting budgets
- Execute the integrity of the creative treatment in all deliverables
- Research, outreach and create vision board to present to clients:
- Domestic and international destinations
- Hotels, Villas, etc
- Activities
- Restaurants
- Transportation
- Book and manage the above
- Point of contact for clients while they travel
- Make adjustments as needed
Skills
- Strong interest in event planning; prefer 2-3 years experience in events industry
- Flexibility to travel frequently and work weekends, as needed
- Strong organizational and communication skills
- Confident and engaging communicator
- Unfazed by tight deadlines and conflicting priorities and remain calm under pressure
