Summary
Speaks Law Firm is seeking a full-time Legal Intake Coordinator to support its legal team and client onboarding process. The role involves managing high-volume client communications, conducting intake assessments, establishing client trust, organizing case documentation, maintaining records, and reporting on performance metrics for personal injury cases.
Responsibilities
- Respond to all client inquiries by phone, email, chat, etc. in a timely manner
- Engage in warm and professional conversations with potential clients
- Build rapport, establish trust, and ensure clients feel heard and understood while walking them through the intake assessment
- Effectively communicate the firm’s vision, mission, and core values to potential clients
- Set up new client case files in CSM
- Confirm receipt of all relevant documents (i.e., legal documents, medical records, billing records, lien information)
- Maintain accurate and detailed records of all client interactions and information in our database
- Assist with documentation, data analysis, conversion rates, and client referrals
- Responsible for Key Performance Indicators (KPI’s) and subsequent reporting
- Provide accurate and comprehensive information about the client and their case to facilitate efficient case management
- All other duties as assigned
Skills
- Associates degree or higher preferred
- High school diploma or equivalent required
- Minimum of two (2) years of customer service experience required
- Minimum of one (1) year experience in a law firm preferably personal injury preferred
- Intermediate to advanced knowledge of MS Word, Excel, and Outlook required
- Attention to detail and ability to multitask while handling a high volume of phone calls
- Must have a passion for customer service and advocating for our clients
- Bilingual Spanish a plus
- Experience with SmartAdvocate a plus
