Summary
Atorus is seeking a Marketing Events Manager to manage all aspects of internal and external events. The role plans and coordinates conferences, trade shows, meetings, webinars, vendors, event logistics, budgets, and post-event evaluations while supporting event promotion and stakeholder communication.
Responsibilities
- Manage conference registrations, attendee information, and lead capture/retrieval systems
- Coordinate exhibitor booths, sponsorship packages, and partner-hosted events (e.g., Phuse SDE, happy hours, dinners)
- Communicate with conference organizers and event contacts; review exhibitor manuals and conference requirements
- Negotiate and maintain vendor relationships for conferences, including A/V, catering, and venue services
- Liaise with vendors and service providers to ensure high-quality service delivery
- Assist in the promotion of events through various channels, including social media, email marketing, and traditional media
- Develop and manage event plans and timelines for internal and external conferences, trade shows, and meetings
- Oversee event setup, execution, and teardown, ensuring everything runs smoothly
- Manage booth shipping, delivery, and storage, including branded materials, signage, and name badges
- Confirm invoices, fees, deadlines, and event requirements
- Track deadlines for registrations, shipping, presentations, sponsorships, and other deliverables
- Manage logistics documents, including event timelines, checklists, and conference manuals
- Plan and coordinate internally hosted events (e.g., Atorus Day, executive meetings, sales meetings)
- Maintain the speakers and abstract tracker
- Research and coordinate hotel accommodations for attending employees
- Manage meeting room requirements, setups, and reservations
- Act as the main point of contact for employees attending conferences
- Schedule planning meetings (logistics and pitch meetings) and post-event meetings to gather feedback and identify improvements
- Maintain a global events calendar and keep leadership and stakeholders updated
- Manage the conference/events budget and track event-related expenses, submitting to finance as needed
- Manage trade show property inventory and recommend changes
- Conduct post-event evaluations and follow-up to gather feedback and identify areas for improvement
- Manage and create webinar timelines and instructions
Skills
- 3-5 years of experience in marketing coordination or similar role
- Proficiency in Microsoft Office Suite
- Collaborative mindset with the ability to work effectively with diverse teams
- Experience using data analytics software for research
- Excellent communication and presentation skills
- High level of accuracy and attention to detail
- Strong organizational and multitasking skills, excellent written and verbal communication, proficiency in Microsoft Office Suite and marketing software (e.g., CRM, email marketing tools)
- Bachelor's degree (or equivalent) in marketing, advertising, or communications preferred
- Zoho CRM (familiarity preferred, not mandatory)
