Job description

Summary

Belmont University is a Christ-centered and student-focused community focused on developing leaders, solving complex problems, and helping people and communities flourish. The Event Coordinator coordinates events, manages client relationships, prepares contracts and billing information, schedules event staffing, supervises student workers, and supports the operations of the Office of Strategic Venues & Event Services.

Responsibilities

  • Advance events and procure applicable event details, conduct facility walk-throughs with clients as needed, and communicate event needs to OSVES staff and University campus partners
  • Prepare event estimates and contracts for clients. Secure event contracts, certificates of insurance, and the like with clients as needed
  • Coordinate and schedule Front of the House staffing for events on campus including but not limited to: house managers, ushers, vendor ushers, emergency medical services, security, and housekeeping. Serve as manager on duty for events as assigned
  • Manage and maintain client account and database. Manage and maintain accurate billing information for each event and assist with vendor invoice verification. Coordinate with Financial Operations team to ensure client invoices are received and paid
  • Maintain healthy and productive relationships with campus partners who regularly facilitate events within OSVES venues and/or need OSVES services. Maintain healthy and productive relationships with campus partners who regularly facilitate events
  • Hire and supervise student workers and assist in training development
  • Assist in the development and distribution of materials relative to coordination, execution, sales, or operations as needed
  • Other duties as assigned

  • Experience working in a fast-paced environment and the ability to respond to high-pressure situations. Ability to thrive in an environment of hard work
  • An ability to work effectively with a wide range of constituencies in a diverse community
  • An ability to use Microsoft Office (Excel, PowerPoint, Word) and basic databases and software
  • An ability to identify issues, obtain relevant information, relate and compare data from different sources, and identify alternative solutions
  • Interprets and seeks information, uses independent reasoning to diagnose the root cause of situations or issues, identifies solutions and thinks beyond what is typical or customary. Uses information to determine benefits and impact in making decision and/or recommendations
  • An ability to coordinate and administer programs/project activities and protocols. Ability to manage resources, monitor activities, and assess risks and quality issues associated with the program/project
  • An associate's degree is required
  • One year of event experience is required
  • A bachelor's degree is preferred
  • One to three years of event experience is preferred
