Summary
Craft3 is a nonprofit community lender serving entrepreneurs, businesses, and communities across the Pacific Northwest. The Payroll & Accounts Payable Staff Accountant manages payroll processing, accounts payable, banking transactions, reconciliations, tax filings, and related audit support while helping maintain financial controls and procedures.
Responsibilities
- Receive, verify, and process vendor invoices, ensuring accurate general ledger, funding source, and department-level coding and data entry
- Create requests for funds (RFFs) for monthly recurring payables, ensuring timely payments to vendors
- Process outgoing payments, including checks, wires, ACH transfers, and online payments
- Process employee expense reimbursements and corporate credit card payments
- Ensure compliance with organizational policies and procedures regarding spending authorization limits, adequate supporting documentation, proper coding, and payment authorization
- Train new staff on policies and procedures related to invoice and expense report submission and approval
- Provide timely follow-up on invoice discrepancies, both externally with vendors and internally with other departments
- Reconcile the accounts payable subledger to the general ledger as part of the month-end close process
- Assist with preparing information required by auditors, examiners, and other stakeholders
- Assist with annual Form 1099 reporting to the IRS
- Collaborate with Human Resources to ensure payroll information is accurately recorded and kept up to date in Craft3’s third-party payroll processing system
- Review payroll inputs for completeness, accuracy, and appropriate approvals
- Own the semi-monthly payroll process from preparation through final submission
- Process accurate and timely retirement plan contribution remittances
- Prepare payroll journal entries, related account reconciliations, and support schedules for month-end close
- Assist staff with payroll-related inquiries and provide timely support on payroll matters
- Oversee payroll-related reporting and manage payroll-related projects as assigned
- Prepare payroll-related information required by auditors for the organization’s annual audit and Form 990 submission
- Provide payroll-related information needed to complete the organization’s annual Form 5500 filing
- Handle payroll tax filings, agency notices, garnishments, and year-end processing
- Review Forms W-2 and other year-end payroll reporting
- Maintain current knowledge of payroll laws and regulations to support effective and compliant payroll processing
- Import daily banking transactions from Wells Fargo into Craft3’s accounting software, ensuring transactions are coded to the correct general ledger, funding source, and department codes
- Record daily banking transactions in Craft3’s loan servicing software
- Prepare and file monthly and quarterly B&O tax returns
- Manage the AP and Payroll email inboxes and support management of the Finance email inbox
- Document procedures, share best practices, and recommend process improvements
Skills
- Three to five years of accounting experience, including hands-on payroll and accounts payable processing
- Experience preparing journal entries and performing general ledger reconciliations
- Intermediate Excel skills, including formulas, lookups, and data reconciliation
- Experience handling confidential employee and financial information
- Strong attention to detail and ability to meet recurring, time-sensitive deadlines
- A passion for improving Pacific Northwest communities and a commitment to Craft3's mission and organizational values
- Ability to work effectively in a remote environment and build strong relationships with colleagues in local and satellite offices
- Strong organizational skills and the ability to manage recurring responsibilities
- A high level of proficiency in Microsoft 365, particularly Outlook, Teams, Excel, and SharePoint
- Experience with Microsoft Business Central
- Experience with loan servicing software
- Experience with AP automation platforms, such as Ramp or BILL
- Ability to develop procedures to meet identified needs and adjust to procedural changes as necessary
- Experience with a nonprofit, community development financial institution, or similar finance organization
- Accounting degree and experience with accounting for both for-profit and nonprofit entities
- Prior experience implementing automation platforms is a strong plus
