Summary
Fish & Richardson P.C. is a global intellectual property law firm with a fast-paced Accounting Department and a remote-first professional group. The Billing Coordinator will manage client billing portfolios, review billing information, coordinate approvals, submit invoices through e-billing platforms, resolve discrepancies, and support reporting and process improvements.
Responsibilities
- Manage assigned client billing portfolios from prebill preparation and attorney edits through invoice finalization and delivery
- Review time entries, matter details and supporting documentation for accuracy and compliance with client billing guidelines
- Coordinate with attorneys and internal teams to obtain approvals, clarify edits, and meet monthly billing deadlines
- Submit invoices through client portals and e-billing platforms, monitor status and status and resolve client rejections
- Maintain accurate client, matter and billing instruction records in the firms financial systems and tracking tools
- Perform quality-control reviews, research billing discrepancies, and respond promptly to internal and client billing inquiries
- Support month-end and year-end billing activities, reporting, audit requests, and continuous process improvements
Skills
- A minimum of a High School Diploma or equivalent is required
- Working knowledge of client billing guidelines, invoice review, electronic billing, and issue resolution
- Proficiency with Microsoft Excel, Word, Outlook and remote collaboration tools
- Exceptional attention to detail, organization, and follow-through, with the ability to manage multiple deadlines independently
- Strong analytical, problem-solving, and professional communication skills, including discretion with confidential information
- Billing coordinator, e-billing, accounts receivable or closely related experience preferred
- Law firm experience strongly preferred
- Experience with Aderant or other legal billing system preferred
- Familiarity with LEDES formats and e-billing portals is a plus
