Summary
Invicta Software is seeking a detail-oriented and proactive Email Assistant to join our dynamic team. This role plays a vital part in ensuring smooth and efficient communication across the organization by managing email correspondence and supporting internal and external messaging initiatives.
Responsibilities
- Monitor and manage the company’s general email inboxes, ensuring timely responses and appropriate routing
- Draft, edit, and format emails for various departments, ensuring clarity and professionalism
- Coordinate with team members to gather information needed for email communications
- Assist in scheduling and sending email campaigns using email marketing platforms
- Maintain accurate records of email correspondence and track follow-ups
- Identify and flag urgent or sensitive emails for prompt attention
- Ensure compliance with company policies and data privacy regulations in all email communications
- Support the IT team with basic troubleshooting of email-related issues when necessary
Skills
- Proven experience in an administrative or communication support role, preferably managing email correspondence
- Strong written communication skills with excellent grammar and attention to detail
- Familiarity with email platforms such as Microsoft Office, Outlook, Gmail, Yahoo or similar tools
- Ability to prioritize tasks and manage multiple email threads efficiently
- Discretion and professionalism when handling confidential information
- Proficient in Microsoft Office Suite and comfortable using collaboration tools
- Strong organizational skills and a proactive approach to problem-solving
- High school diploma or equivalent required
- Associate or bachelor's degree in communications, business administration, or related field preferred
- Previous experience in a corporate or software company environment is advantageous
- Basic understanding of email marketing tools and best practices is a plus
