Summary
InterDent Service Corporation is seeking an Administrative Assistant to provide organizational and administrative support for efficient office operations. The role manages communications, schedules, records, documents, meetings, office supplies, administrative paperwork, and general office activities while supporting managers and team members.
Responsibilities
- Answer and direct phone calls, emails, and other correspondence
- Schedule appointments, meetings, and calendars
- Prepare, format, and organize documents, reports, presentations, and spreadsheets
- Maintain electronic and paper files and records
- Enter, update, and maintain information in databases and computer systems
- Coordinate meetings, including preparing agendas and taking meeting notes
- Assist with ordering office supplies and maintaining office inventory
- Process invoices, expense reports, purchase orders, and other administrative paperwork
- Greet visitors and provide professional assistance to clients, customers, and staff
- Coordinate communication between departments and assist with internal administrative requests
- Make travel arrangements and prepare itineraries when required
- Assist managers and team members with various administrative projects
- Handle confidential information professionally and maintain appropriate privacy
- Perform data entry, copying, scanning, filing, and other general office duties
- Help improve administrative processes and keep daily operations organized
Skills
- High school diploma or equivalent
- Strong written and verbal communication skills
- Proficiency with Microsoft Office, Google Workspace, email, calendars, and office software
- Excellent organization and time-management skills
- Strong attention to detail and accuracy
- Ability to prioritize multiple tasks and meet deadlines
- Professional and courteous communication style
- Ability to work independently as well as part of a team
- An associate degree may be preferred
- Previous administrative, office, receptionist, or customer service experience is often preferred
