Summary
The Kennedy Collective is seeking an HR Coordinator to provide administrative and operational support across its Human Resources functions while serving as the organization's designated DDS Medication Coordinator. The role supports employee lifecycle processes, HRIS administration, personnel records, leave administration, employee relations, onboarding, credentialing, training coordination, and regulatory compliance, including Connecticut DDS medication administration requirements.
Responsibilities
- Prepare employment offers and coordinate pre-employment requirements to ensure a positive candidate experience
- Provide administrative and operational support across all Human Resources functions, including employee lifecycle activities, HRIS administration, personnel records, and employment documentation
- Coordinate onboarding activities, new hire documentation, HRIS data entry, personnel file maintenance, and employment record management
- Prepare HR correspondence, employment documents, reports, and forms while ensuring accuracy, confidentiality, and compliance with organizational policies
- Assist with departmental projects, process improvements, audits, and other Human Resources initiatives as assigned
- Respond to employee and manager inquiries and provide general Human Resources support while delivering exceptional customer service
- Provide administrative support for employee relations matters, workplace investigations, performance management activities, and corrective action processes, including preparing documentation, maintaining confidential records, and coordinating meetings
- Assist with the administration of employee leave programs, including Family and Medical Leave Act (FMLA), Connecticut Paid Leave, Americans with Disabilities Act (ADA) accommodations, workers' compensation, and other protected leaves by coordinating documentation, tracking deadlines, and maintaining compliance records
- Maintain employee personnel files and Human Resources records in accordance with organizational policies and applicable federal and state laws
- Support Human Resources compliance activities, audits, reporting requirements, and process improvement initiatives
- Serve as the organization's designated DDS Medication Coordinator in accordance with Connecticut DDS regulations
- Coordinate employee credentialing, certification tracking, medication administration certifications, delegated nursing documentation, recertifications, and regulatory compliance activities
- Maintain accurate records for employee certifications, required trainings, licenses, and regulatory documentation while monitoring renewal deadlines
- Coordinate medication administration training, recertifications, audits, and compliance reporting in collaboration with nursing staff and regulatory agencies
- Support training coordination, orientation logistics, and employee compliance with mandatory organizational and regulatory training requirements
- Maintain accurate employee information within the Human Resources Information System (HRIS) and other HR databases
- Prepare reports, maintain HR records, monitor compliance data, and support audits and reporting requirements
- Ensure employee documentation, credentialing records, and regulatory files are complete, accurate, and maintained in accordance with record retention requirements
- Demonstrate professionalism, integrity, ethical leadership, accountability, and sound judgment while maintaining confidentiality
- Build collaborative relationships with employees, leaders, healthcare professionals, regulatory agencies, vendors, and community partners
- Maintain current knowledge of Human Resources practices, employment laws, Connecticut DDS regulations, and organizational policies
- Promote a positive employee experience by providing responsive, accurate, and professional Human Resources support
- Perform other duties, assignments, and strategic initiatives as assigned in support of Human Resources and organizational objectives
Skills
- High school diploma or equivalent required
- Minimum of two (2) years of progressively responsible administrative experience in Human Resources, office administration, employee services, compliance, or a related field
- Experience supporting employee lifecycle processes, including onboarding, personnel records administration, HRIS data entry, and employment documentation
- Proficiency with Microsoft Office Suite, Human Resources Information Systems (HRIS), and other office technologies
- Strong organizational, interpersonal, and customer service skills with the ability to manage multiple priorities while maintaining accuracy, confidentiality, and attention to detail
- Knowledge of Human Resources principles, employment laws, recordkeeping requirements, and HR administrative best practices
- Working knowledge of federal and state employment laws, including FMLA, ADA, Connecticut Paid Leave, and other applicable employment regulations
- Strong organizational, time management, and administrative skills with the ability to manage multiple priorities while maintaining accuracy and attention to detail
- Strong written and verbal communication skills with the ability to interact professionally and effectively with employees, leaders, healthcare professionals, regulatory agencies, and external partners
- Proficiency in Microsoft Office Suite, Human Resources Information Systems (HRIS), and other business software applications
- Ability to maintain accurate records, prepare reports, coordinate documentation, and safeguard confidential employee and medical information
- Ability to exercise sound judgment, professionalism, discretion, and exceptional customer service while supporting Human Resources operations
- Experience providing administrative support for leave administration, employee relations, workplace investigations, or regulatory compliance activities preferred
- Experience coordinating employee credentialing, certifications, training records, or compliance documentation preferred
- Associate's or Bachelor's degree in Human Resources, Business Administration, Psychology, Organizational Leadership, or a related field
- SHRM Certified Professional (SHRM-CP), Professional in Human Resources (PHR), or other applicable Human Resources certification
- Experience within nonprofit, healthcare, developmental disabilities, or human services organizations
- Experience supporting Family and Medical Leave Act (FMLA), Connecticut Paid Leave, ADA accommodations, workers' compensation, or other leave administration processes
- Experience serving as a Connecticut DDS Medication Coordinator or coordinating employee credentialing, regulatory compliance, or certification programs
- Experience utilizing Paylocity or a comparable Human Resources Information System (HRIS)
