Summary
Vaniam Group is an oncology-led partner to biopharma companies working in complex, high-science medicine. The Account Executive, Client Services will oversee implementation of existing client SOWs, coordinate resources, manage timelines and budgets, and maintain day-to-day client communication. The role also supports tactical execution, documentation, billing coordination, and approved AI-enabled workflow improvements.
Responsibilities
- Demonstrate knowledge of therapeutic area of assigned account(s) and competitive environment as well as healthcare regulation implications
- Demonstrate knowledge of agency procedures, identify typical issues, and escalate appropriately
- Employ ability to modify core product framework plans to form custom project plans
- Evaluates deliverables against Project Briefs
- Show resourcefulness and thoroughness in supporting the development of tactical plans (including budgets and timelines)
- Provide accurate and thorough documentation: status reports, contact reports, timelines
- Own day-to-day tactics and execution within agency
- Synchronize communications between account teams, support teams, vendors, and clients
- Assist with budget development and ensure invoicing is consistent with agreed-upon payment terms
- Keep accurate record of time spent on client work and manages project burn rate
- Assists in project reconciliation and works with accounting to ensure accurate billing
- Use approved AI tools to support day-to-day account organization, including meeting notes, status updates, timelines, and project documentation
- Identify opportunities to streamline internal workflows through AI-assisted drafting, summarization, and task tracking while maintaining accuracy and client confidentiality
- Apply AI thoughtfully to improve efficiency in client service deliverables, ensuring outputs are reviewed, validated, and aligned with agency and client standards
- Communicate basic agency recommendations to clients effectively and concisely
- Work with client and internal teams to successfully execute scoped tactics
- Leverage approved AI tools to streamline routine tasks, research, content creation, analysis, and workflow management
- Other duties may be assigned to help drive deliverables within this role
Skills
- * Bachelor's degree
- * 2+ years of client services experience
- * 1+ year of agency or pharmaceutical advertising experience
- * Working knowledge of digital marketing
- * Good working knowledge of pharmaceutical and biotech industries and scientific communications
- * Is proactive and results oriented, with a commitment to accountability
- * Possesses strong interpersonal skills, with the ability to interact effectively and professionally at all levels within the organization and with clients
- * Proficiency in MS Office, Adobe, WebEx (or other similar systems)
- * Excellent problem-solving skills, including the ability to analyze information skillfully, develop alternative solutions, and work well in group problem-solving solutions
- * Strong organizational skills
- * Travel within the US and internationally as necessary, based on project, sponsor, and organizational needs (<40% travel expected)
- This position requires you to be based in IL or IN
- * Oncology/hematology experience
- * Experience using cloud-based system servers such as Egnyte
- * Experience working in a completely virtual environment
